Office Manager/Bookkeeper
Full service marine yard is looking for an Office Manager to provide administration, bookkeeping, and human resources for their business of under 10 employees. This is a year-round position and offers flexible hours within a casual yet busy office environment. The Office Manager will work closely with the Owner on day-to-day business operations and provide excellent service to their high-end clientele, vendors and industry partners.
Responsibilities include:
- Accounts Payable – Record invoices and reconcile monthly; Track and pay subcontractors; Print checks on demand; Record and reconcile credit cards, loans, and insurances monthly.
- Accounts Receivable – Invoice per daily/weekly/monthly schedules; Send statements monthly; Call on accounts due for payment; Process checks and credit card payments.
- Reconcile bank accounts monthly; Record debit transactions daily.
- Pay sales tax liability monthly.
- Process material returns and request vendor credits.
- Maintain insurances including registrations, inspections, excise taxes, audits, etc.
- Enter customer materials based on timesheet data.
- Enter employee timesheet data daily for payroll and billing.
- Process weekly payroll; Maintain up to date Payroll Records and QuickBooks.
- Maintain files for yearend taxes.
- Maintain LLC payments.
- Produce reports for billing which include job/material time tracking.
- Maintain vendor pricing lists and update as adjustments are made.
- Make bank deposits and office/shop supply runs.
- Maintain office organization, cleanliness and trash removal.
- Answer incoming calls; Monitor email account and office phone voicemail.
- Other projects and support to the owner as needed.
- Strong technology skills including Microsoft Word, Excel and Adobe Acrobat.
- Highly proficient in QuickBooks including inventory updates, payroll input, sales tax, report processing, and troubleshooting.
- Excellent customer service and phone skills.
- Knowledge of boats and/or the marine industry a plus.
