Development Administrative Assistant

Job Description
The Development Administrative Assistant provides operational, marketing and administrative support to IFAW’s Development Department.  This is a bold and energetic self-starter who is passionate about working in a high-performance department which comprises of several teams.  S/he will manage a variety of projects poised to improve the fundraising and operations of one of the world’s largest animal welfare and conservation organizations.
Role and Responsibilities
  • Support Development Department leaders with accurate and timely data entry for all fundraising streams.Ensure that supporter records and revenue are coded appropriately.
  • Provide administrative support to the Development leadership team. Prepare presentations, assist with travel booking/reimbursements, prepare donor folders, file, purchase office supplies and manage department printer/copier maintenance.Manage logistics of local Development meetings.Assist with invoicing and payment requests.
  • Provide back up support for donor telephone and email correspondence during peak periods.
  • Provide donor communication support as needed for:invitations, follow up notes and thank yous, emails, for all Development teams with focus on Legacy and Major Gifts.
  • Provide project management support to Development leaders for general research, in-house mail file storage, creating and maintaining reference documents, org charts and intranet communication postings.
  • Support the Development team through invoice processing and cost analysis.Prepare invoices for payment and assist Development team in appropriately posting costs to the database.
  • Support the Direct Mail team through compiling and updating financial audit report data.Maintain a catalog of direct mail efforts and distribute internally as required.
  • Run and distribute regular financial reports, and others as requested, to Development Leadership, work with internal departments to resolve system errors.
  • Provide IOC back-up support to the Senior Administrative Coordinator in support of the Vice President of Global Development and the Executive Assistant to the CEO.
Qualifications and Education Requirements
  • Three – five years’ comparable experience in a professional office environment required.
  • Project management experience desired.Non Profit experience a plus.
  • Pragmatic, self-motivated, composed under pressure with professional acumen, good judgment, discretion, and a highly developed sense of responsibility.
  • Superior planning and organizational skills and ability to manage logistics and communications in a fast paced environment.Ability to work independently with minimal supervision and to problem solve with little guidance.
  • A strong commitment to IFAW’s mission; interest in animal welfare and conservation.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills and teamwork principles.
  • Advanced proficiency with Microsoft Office.
