Job Description

SUMMARY:

Reporting to the Assistant Chief of Staff, this role will be responsible for providing administrative support for the Executive Office, including a wide range of complex and confidential administrative and operational tasks.  This is a professional level role requiring a person of high intellect with a keen sense of urgency, adaptability, intuitive judgment and superior work ethic, with the mindset that no task is too great or too small in support of the Bank’s mission. 

ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:

  1. Provides comprehensive administrative and logistical support for Co-Presidents and Executive Vice Presidents.
  2. Responsible for Corporate Office event management, including arranging scheduling, set-up, and detailed logistics for various events.
  3. Maintains appointment calendars for executive management, including travel, in a confidential manner.
  4. Provides corporate calendar support including calendar invitation and calendar management.
  5. Assists with general Accounts Payable and administrative support including: credit card reconciliation, mail, customer communication response, answering phones, ordering supplies, contacts management.
  6. Models behavior reinforcing Bank-wide culture optimization journey, including innovative thinking, clear communication and a growth mindset.
  7. Collaborates with Executive Office team members to ensure efficient and effective daily office operations.
  8. Prepares correspondence, agendas, reports and presentations using Word, Excel, PowerPoint and other computer applications.
  9. Provide support with the management of corporate records, including but not limited to: Corporators, Committees, Committee membership appointments, Charters, and Bank Policies. Additionally, maintains electronic archives of highly confidential bank documents.

 

QUALIFICATIONS:

EDUCATION, CERTIFICATIONS: (Minimum education required to perform the duties of this position):

  • Associate’s Degree in business-related field or professional administrative certificate, or equivalent experience required.

KNOWLEDGE, SKILLS & ABILITIES:

  1. Requires the ability to exercise discretion, judgment and initiative.
  2. Proficiency in using Microsoft Office software suite, including Word, Excel, PowerPoint, Outlook, Access etc.
  3. Proficiency with IOS and Apple products strongly preferred.
  4. Ability to multi-task and work at rapid pace while constantly reprioritizing.
  5. Comfortable with current office and communications technology and interested in continuously expanding this knowledge and adapting to new technological advances.
  6. Excellent writing, grammar and proofreading skills.
  7. Ability to be flexible and poised in a work environment of changing priorities. Reliable and discreet. Must demonstrate initiative, good problem solving abilities, and excellent communication and organizational skills. Must be able to handle confidential/sensitive information and/or circumstances.
  8. Ability to work occasional long hours and those outside of normal business hours.
  9. Ability to thrive under pressure and maintain a sense of humor!
  10. A positive, will do attitude required and willingness to pitch in as a team player wherever needed.
  11. Willingness to ask questions and tendency to think critically and demonstrate good judgement.
  12. Excellent attention to detail a must.
  13. Excellent interpersonal skills, with ability to work effectively in a team environment both within the department and elsewhere in the organization.
  14. Must have cyber security awareness to protect the Bank and the Bank’s customers.
